Mapping Account ID to the Bank Account Card

To automatically identify company’s bank account and your counterparties' accounts based on the values from the bank statement, you have to define the link in the system. You can set up this link with the Create ID-to-Account Mapping action on the ID-to-Account Mapping page.

Create ID-to-Account Mapping Report

To automatically create multiple links between an account ID, customer card, vendor card, employee card, bank account and G/L account, you can use the reports dedicated for the corresponding account types. To run these reports, you can use the Create Mapping ID to Account action, which is available from within the following list pages: Customers, Vendors, Employees, Bank Accounts and Chart of Accounts.

To create links between the vendor’s bank account identifier and existing vendor cards:

  1. Choose the Tell me what you want to do icon, and enter Vendors, and then select a related link.

  2. On the Vendors list page, select the vendors for whom the link is to be established.

  3. Choose the Create ID-to-Account Mapping action. The action is available in the Actions section.

  4. When you choose the action, you will see the report Create Vendor ID-to-Account Mapping report where you can fil in the following fields:

    • Field Name - Specifies the name of the vendor's bank account field. The value of this field will be used as an account identifier that will be linked to the selected vendors.
    • Interface Code - Specifies the name of the bank statement interface within which the links will be created and used when importing the bank statement.
  5. When the report is run, an ID-to-account mapping will be created for all the selected vendor accounts. If any errors occur, an error message will be displayed.

Important

The Field Name and Interface Code fields must be filled in. If these fields are not filled in, an error message appears when you try to run the report.

The selected field in the Field Name must contain a value that is set on the vendor’s bank account, otherwise an error message will be generated and the link will not be created.

Note

For each account type, that is: Vendor, Customer, Employee, Bank Account, K/G Account a dedicated report exists with the same fields that require completion. To use the reports, select the Create ID-to-Account Mapping action on the Vendors, Customer, Employees, Bank Accounts, G/L Account list pages.

On the G/L Account list page, the Create ID-to-Account Mapping action is visible only when direct posting is set for the selected G/L account.

ID to Account Mapping Page

To automatically create links between an account ID, customer card, vendor card, employee card, bank account and G/L account, you can manually set an account ID on the ID to Account Mapping page or automatically create a link by using the Create ID-to-Account Mapping action.

To link a bank statement account ID to an existing account list:

  1. Choose the Tell me what you want to do icon, and enter Vendors, and then select a related link.

  2. On the Vendor Card list page, select the Map ID to Account action. The action is available in the Related, Purchases section.

  3. When it is selected, the Mapping ID to Account page is run with the filter set by default in the Account Number field to the same vendor number as in the context page opened earlier. Now, you can edit the following fields:

    • Interface Code - Specifies the name of the bank statement interface for which the link will be taken into account.
    • Mapping ID - Specifies the account ID that you want to link to a specific customer, vendor, employee, bank or G/L account.
  4. To open the Mapping ID to Account page, choose the Mapping ID to Account on the following pages: Vendor Card,Customer Card, Employee Card, G/L Account Card, Bank Account Card.

  5. Additionally, you can use the Create Account Mapping ID action on the Mapping Account ID page to open a dedicated report for the card from which the Mapping Account ID page was opened. The steps for creating the links are the same as the steps described in Create ID-to-Account Mapping Report.

Note

On the G/L Account Card list page, the ID-to-Account Mapping action is visible only when direct posting is set for the selected G/L account.

Setting up a Bank Account Card based on an Account ID

The ID-to-Account Mapping page contains the Create Bank Account action. When you select this action, a new bank account card is created in which the value from the Mapping ID field is copied to the IBAN field. To create the bank account card, the Mapping ID field must contain the actual IBAN.

Important

All mappings are defined in the context of the interface name. This means that, if you identify bank accounts based on a specific ID for more than one interface, you must enter the ID - Interface Code link in the table separately for each interface.

List of Mappings for the Interface

To view a list of all mappings for the bank statement interface:

  1. Choose the Tell me what you want to do, icon, and enter Bank Statement Interfaces, and then select a related link.

  2. Select Map ID to Account action on the ribbon.

  3. When the Map ID to Account action is selected, the Mapping ID to Account page will be run, with a default filter in the Interface Type field set to the same type as the interface code on the context page that was opened earlier. Now, you can edit the following fields:

    • Mapping ID - Specifies the account ID that you want to link to a specific customer, vendor, employee, bank or G/L account.
    • Account Type - Specifies the type of the account that will be used if the value defined in the Mapping ID field exists in the bank statement.
    • Account Number - Specifies the number of the account that will be used if the value defined in the Mapping ID field exists in the bank statement. Depending on the value in the Account Type field, this will be the customer, vendor, employee, bank account, or G/L account number.

From the Bank Statement Interfaces page, it is possible to automatically create a link between an account ID and a customer card, vendor card, employee card, bank account card or G/L account by using the respective actions: Create Customer ID-to-Account Mapping, Create Vendor ID-to-Account Mapping, Create Employee ID-to-Account Mapping, Create Bank Account ID-to-Account Mapping, Create G/L Account ID-to-Account Mapping. When you run the action, a relevant report opens. In the Interface Code field, the the report contains an interface code that was selected when you opened the Map ID to Account page. The steps for completing the report are the same as the steps described in Create ID-to-Account Mapping Report.
