Vendor Payment Worksheet

Vendors Payment Worksheet is a solution for creating payment proposal lines. The worksheet contains all open vendor ledger entries that are necessary for creating payment proposal lines.

The worksheet enables the user to:

  • save filters defined by the user;
  • work simultaneously with other users;
  • choose an aggregation method for payment proposal lines.

In addition to the standard information that is displayed in ledger entries, the Vendor Payment Worksheet page contains the following fields:

  • Transfer Amount - Specifies the assumed transfer amount entered by a user for the entry.
  • Amount in Bank Transfers - Specifies the total transfer amount for the entry in payment proposals that are not exported.
  • Amount in Electr. Bank. Reg. - Specifies the total transfer amount for the entry in the electronic banking register. The positive amount means that bank transfers have already been exported for the entry, but they have not been applied within the system. For more details, see Electronic Banking Register.
  • Vendor Blocked - Specifies if the vendor has the Blocked status.
  • Entry On Hold - Specifies if the entry is kept on hold for payment.
Tip

The list of fields that is available within the payment worksheet functionality can vary depending on the applications installed in Electronic Banking Extensions. For more details, see Local Functionality and Interfaces.

Creating Payment Proposal Lines

To create payment proposal lines on the Vendors Payments Worksheet page:

  1. Choose the Tell me what you want to do icon, and enter Payment Proposals and then select a related link.
  2. On the action bar, choose the Vendor Payment Worksheet action.
  3. Enter the values in the Transfer Amount field.

The transfer amount entered by the user in the Transfer Amount field must not be greater than the calculated outstanding transfer amount. The outstanding transfer amount can be calculated by adding the following values

Remaining Amount + Amount in Bank Transfers + Amount in Electr. Bank. Reg..
The outstanding amount of the transfer can be calculated and entered automatically by using the Assign Transfer Amount action. The outstanding amount of the transfer can be changed manually.

Note

The outstanding transfer amount is decreased by the payment discount amount.

Note

The summary in the Total Assigned Transfer Amount field contains the sum of the Transfer Amount column in the currency of a sender’s bank account. The amount is denominated tt the sender’s bank account currency according based on the currency exchange rate set in Dynamics 365 Business Central.

Important

It is not possible to create payment for entries that have the value in the On Hold field or a vendor with the Blocked field selected in the vendor card. In such a case, the entries are marked with red color and you cannot enter any values in the Transfer Amount field.

The entries for which a simultaneously working employee entered a value in the Transfer Amount field, are marked with blue color. This is not an error (the user can process the payment proposal further), however conflicts may occur when other transfer or bank statement commands are processed.

If the value entered is greater than the outstanding transfer amount, a warning will be displayed in the worksheet. This is not an error (the user can process the payment proposal further), however conflicts may occur when other transfer or bank statement commands are processed.

  1. When you fill in all required fields in the entry, use the Create Transfers action.

  2. The action opens the Select Aggregation Level page, where you can choose from the three following aggregation levels:

    • No Aggregation - Specifies that payment proposal lines will be created without aggregation.
    • Recipient/ Recipient Bank Account/ Currency Code - Specifies that payment proposal lines will be created with aggregation according to the Recipient, Recipient Bank Account, Currency Code fields.
    • Recipient/ Recipient Bank Account / Currency Code / Due Date - Specifies that payment proposal lines will be created with aggregation based on the Recipient, Recipient Bank Account, Currency Code, Due Date fields. Additionally, the Due Date field value is assigned to the Transfer Date field in a payment proposal line. If the date in the Due Date field is earlier than the current date, the current date will be assigned to the Transfer Date field and the payments will be aggregated with the remaining fields.
  3. When you select the aggregation level, transfers will be created for all entries with assigned the Transfer Amount value. Entries with the On Hold status, even if they include values, will be skipped. Entries will not added to previously added payment proposal lines.

Caution

If you do not create payment proposal lines before you close the worksheet, the value in the Transfer Amount field is retained and available when you reopen the worksheet.

Blocked Payments

Lines with blocked payments are marked with red color on the Vendor Payment Worksheet page. It indicates that entering values in the Transfer Amount field is blocked.

Payments are blocked for a specific line when:

  • a value is added in the Blocked field in the vendor card of a vendor linked with the entry;
  • the entry includes a value in the On Hold field.

Blocking Payments for an Entry

To block payments for a vendor ledger entry:

  1. Choose the Tell me what you want to do icon, and enter Vendor Ledger Entries and then select a related link.
  2. Enter a value in the On Hold field for the entry.
Important

You cannot change the value in the On Hold field, if the Transfer Amount field includes a value.

Tip

You can enter a value in the On Hold field on the Vendor Payment Worksheet page, by choosing the Vendor Ledger action.

Blocking Payments to Vendors

To block the possibility to make payments to a vendor:

  1. Choose the Tell me what you want to do icon, and enter icon and enter Vendors and then select a related link.
  2. On the Vendors list page, in the Blocked field, enter a value.
Important

Values in the Blocked field can be changed, if a transfer amount is entered in entries linked with the blocked vendor in the Transfer Amount field. When you create payments using the Vendor Payment Worksheet tool, these entries will be skipped and the user will receive a message that lists the skipped entries.

Tip

You can enter a value in the Blocked field on the Vendor Payment Worksheet page, by choosing the Vendor action.

Setting Advanced Filters

To define advanced filters for transfer amounts:

  1. On the action bar, choose the Show Advanced Filters, because by default advanced filters are hidden. The additional the Transfer Amount Filter field will be displayed on the Vendor Payment Worksheet page.
  2. In the Transfer Amount Filter field, enter the appropriate filter expression.
  3. Press Enter or click outside the text box. The filter will be automatically applied.
  4. To hide the filter box, choose the Hide Advanced Filters action that appears when the Transfer Amount Filter field is visible. The Hide Advanced Filters action is shown instead of the Show Advanced Filters action on the page.
Important

When switching between views, all advanced filters are cleared.

Note

The filter set in the Transfer Amount field works in parallel to the standard system filters available when you choose the Show Filter Pane action in the top right corner of the page. You can use both types of filters at the same time.
