Payment Proposal Approval
The statuses on payment proposals are similar to bank statements. After you complete all the tasks related to a payment proposal, you should send the document for approval if you do not have sufficient permissions to approve it yourself. The payment proposals approver can view the list of payment proposals that are waiting to be approved in the Role Center. The user who has permissions to generate a payment proposal can skip the steps described below.
Sending Payment Proposals to Approve
To send a payment proposal for approval:
- Choose the , icon, and enter Payment Proposal List and then select a related link.
- On the action bar, choose the Send Approval Request action.
- The document status changes into Pending Approval.
Payment Proposal Approval
Payment proposals with the Pending Approval status will only be visible for users authorized to approve documents.
To display the list of payment proposals pending approval:
- Choose the , icon, and enter Payment Proposal List and then select a related link. You can also choose the Payment Proposals Pending Approval action in the Role Center.
- If you have permission to accept bank statements, you will see additional options on the the Payment Proposal Card page:
- Approve - Changes the status of the document to Approved, which indicates the payment proposal file can be generated. Only users authorized to generate payment proposals can generate the file.
- Reject - Changes the status of the document to Open, which means that the document needs to be adjusted.
Note
A payment proposal can be edited by the user with any status. One of the possible scenarios is that an approver enters the changes in the payment proposal, and then approves it.
The status cannot be changed, if any errors are detected (e.g. no data in the payment proposal). An error message is created, then. It will include an error and a warning list in the Payment Proposal Errors FactBox on the right.
